Step 1: Assess the risks at our Workplace
- Involved: Health and Safety committee, Shop Foreman, Service Manager, Sales Manager, and GM to identify areas of risks
- Areas that people gather: Lunchroom, Tool room, Offices, Boardroom, Coffee/Water machine, Service department, Sales Department
- Identified job tasks and processes where workers are close to one another or members of the public: Service check in/out, loaner & demo vehicles, detailing & working on vehicles, technician road tests, test drives (sales), Cashiering, Sales desks, Service desk, Reception.
Step 2: Implement protocols to reduce the risks
Industry-specific Protocols: Retail
- Changed store layout for customer waiting areas (spread customer lounge across dealership to increase customer social distancing)
- Mandatory face covers/masks for staff and customers
- Marked social distancing of areas with hazard tape around employees desks to promote customers to maintain social distancing.
- Set occupancy limits for each room in the building
- Set floor markers to indicate appropriate waiting spots for customers in line
- Placed signs at entrances informing customers / employees to not enter if they are exhibiting symptoms of COVID-19 and face covering/masks requirement
- Reduced Service appointments per day
- Removed all customer touchables (shared food, magazines, newspapers, brochures).
- Deliveries to come through the parts department or reception
- Eliminated shuttle service and replaced with Uber
- Hand Sanitizer stations throughout the dealership
- Support added for online payment of invoices
- Sanitation of all customer vehicles going in and out of the shop
- Sanitation of all loaners and demos before and after use
- Increased sanitization of all high traffic touch locations, shared equipment, bathrooms, lunchroom within the dealership
- Health questionnaire and temperature check for workers prior to the start of their shift
- No sharing of office supplies
- No handshaking
- No common shared utensils or plates in the lunch room
- No work station or phone sharing
- No handling of customer phones (unless sanitized first)
- If possible, eat lunches at your workstation (desk) or outside if possible
- Sanitized Pens stations for document signing
- Increased Sanitization of common shared tools / Tablets / Machinery / office equipment.
- Barriers installed in areas that social distancing is hard to maintain (Business Office and Insurance desk)
Step 3: Develop Policies
Preventative action
In response to the COVID-19 pandemic, Acura of Langley will continue to conduct regular workplace assessments, risk evaluations and job hazard analysis to ensure the continued safety of our employees, customers and the general public. As such, Acura of Langley has implemented the following preventative measures accordingly:
- Any employee who has recently returned from abroad, must observe a fourteen (14) day self-isolation/self-quarantine period.
- Customers who are currently under self-isolation/self-quarantine due to COVID-19 and Public Health advice are to reschedule their appointment.
- Any employee or member of the general public who presents illness such as, cough, runny nose, fever or difficulty breathing is advised to remain home and observe self-isolation/self-quarantine until no symptoms are present.
- Social Distancing measures have been implemented within the dealership to ensure the safety of all individuals present, this is identified by markings on the floor, signage on doors, desks and windows.
- Where required, plexiglass screens/barriers have been installed for the ongoing safety of customer facing staff.
- Additional handwashing and hand-sanitizing stations have been implemented in the dealerships.
- Acura of Langley will no longer provide snacks or finger food for customers to ensure safety. There should be no communal eating i.e. sharing of food, stationary or any other items between employees or customers.
- Designated employees are regularly sanitizing high-touch and high-traffic areas within the dealership.
- Regular dealership safety meetings are conducted with respect to Public Health and Organizational Health and Safety.
- Full sanitization of customer vehicles.
- Eliminating shuttle vehicles to limit possible exposure to the virus.
Additional measures
In an effort to continue with the Health and Safety of our employees and the general public, the Company will ensure that in response to Public Health notices and recommendations, we will practice the following measures:
- Regular review and policy updates in accordance with local, provincial and federal legislation.
- Review any incidents or unsafe work practices as it relates all Health and Safety policies and procedures.
- Report to local Occupational Health and Safety should any member of our internal team become ill with COVID-19.
- Consistently review work practices and Social Distancing measures for continued Health and Safety of employees and the general public.
Clarification of Covid-19 Workplace rules
If you are experiencing ANY of the symptoms in the COVID-19 survey tracker, you will not be allowed to return to work unless you meet one of these criteria:
- You get tested for COVID-19 and receive a negative result, which you must provide to us prior to returning; OR
- You Self-Isolate for the full 14 days from the time you were exposed or start to show symptoms; OR
- You receive approval to return to work by a health professional.
The guidelines above are meant to keep you and everyone around you safe. Anyone who is exhibiting symptoms during the workday will be asked to stay home until they meet one of the three criteria above.
Furthermore, if someone in your household, or if you were in close, prolonged contact (more than 15 cumulative minutes) with someone who tests positive, or is waiting for their COVID-19 results, you are required to self-isolate in order to prevent the spread of the virus. If (in the latter case) the person receives their result and is negative, you may return to work, unless you start to exhibit symptoms.
Also, when you are checking in to work each day and having your temperature checked, we are now requiring you to show the designated Screener at your location or your Manager that you have completed the COVID-19 survey and have answered "No" to the questions.
COVID-19 Symptom Screening
Upon entering your workplace, you must report to the designated screener in your department (or their chosen back-up) in order to have your temperature checked, and to answer the mandatory COVID-19 symptom checklist in the HR4 application. Anyone who answers "Yes" to any of the questions will be asked to return home to self-isolate.
Masks
Masks should be worn at all times (unless eating or drinking) when deemed in effect by the BC Government. During periods that masks are not mandatory in public settings, we ask that all public facing employees wear face masks interacting with the public, and/or in confined spaces when sanitizing or circumstances where social distancing cannot be maintained.Lunchrooms
It is imperative that we follow social distancing and hand sanitizing protocol even in our lunchroom. Management will ensure that tables and chairs are spaced a minimum of 6' apart, and will provide you with the necessary sanitizers to keep your hands, as well as the lunchroom clean.
Step 4: Develop communication plans and training
Training Plans, Policies and Communication
All training plans and policies for health and safety are available on the HR4 application under the Health and Safety Section available to all employees and new hires. Communication with employees and HR is also done through the program.
Workplace Signage
We have posted:
- Occupancy limits on every room for the dealership
- Effective hygiene practices (handwashing signage in every bathroom)
- Visitor and Workers with Symptom signage at entrances
- Masks Mandatory signage at entrances
Supervisors Training
Have been trained on monitoring workers and the workplace to ensure policies and procedures are being followed.
Step 5: Monitor your workplace and update your plans as necessary
Health and Safety Committee
- Monthly meeting to discuss any change to procedure or policy
- Emergency meetings when deemed necessary
- Workers know who the Health and Safety officers (first aid) are and they are introduced on their first day to them
- Workers know where to restock on sanitation supplies or PPE
- Workers know they can report any safety issue to any manager, safety officer or HR department
- When resolving safety issues: we will involve the health and safety committee and workers when deemed necessary for input
Step 6: Assess and Address risks from resuming operations
- We have never ceased operations for any duration of the pandemic
